Office Administrator

Position Type: Part-time (Monday to Friday) from 10 am to 2 pm

Reports to: Board President

Role and Responsibilities

Administrative Support

  • Perform QuickBooks transactions, reports, and bookkeeping tasks.

    • Generate paychecks, reimbursement checks and payment of bills.

  • Work closely with the Treasurer to record grants, donations, incoming and outgoing fees.

  • Manage membership and garden plot payments.

  • Maintain release/waivers forms for gardeners and volunteers.

  • Manage Volunteer database and assist with management of volunteers.

  • Maintain office building equipment and supplies.

  • Grants - Update grant spreadsheet with funds spent; remind manager of status report due dates. Check Grant Station for any applicable grant opportunities for the organization and notify the trustees.

  • Schedule dumpster and trash pickup for the office and gardens.

Communications

  • Answer phone calls and responds to voicemails, emails and US mail. Forward to appropriate trustee or garden manager.

  • Website updates, electronic newsletters.

  • Submit event information to the Recreation Department and the Warren eSign.

  • Thank you letters to donors, vendors, volunteers and sponsors.

  • Communicate volunteer requests.

Events

  • Assist with event planning and execution of events.

  • Create flyers for the gardens and events. Distribute event notifications to local publications and members.

  • Obtain permits, vendor agreements.

  • Work with event manager to enter volunteer needs in SignUp Genius and provide reports.

Skills and Qualifications

Required

  • Minimum 2 years administrative experience

  • QuickBooks

  • Google Suite

  • Strong communication, organization and time management skills

Preferred

  • Knowledge of non-profit organization governance

  • Canva

  • Squarespace

  • Constant Contact

  • SignUp Genius
